IQ Student Accommodation (“IQ”) Summer Bookings Policy
The below terms and conditions apply to all summer accommodation bookings with IQ Student Accommodation (“Summer Bookings"). If you do not understand these terms and conditions or the Summer Licence Agreement you should seek appropriate advice before accepting them.
Booking Terms and Conditions
Required Payments at Time of Booking
- No holding deposit or booking fee is required for Summer Bookings as full payment is required upon booking.
- A room booking is only secured once payment has been made by credit or debit card through the iQ portal.
- There will be no surcharge for payments made using a debit card/credit card.
Your Bookings
- All offers of accommodation featured on the iQ summer accommodation website are subject to availability and there is a limited number of rooms available during the summer.
- Booking periods and minimum stays vary across iQ locations.
- The minimum notice period for booking is 7 days before check-in (for any bookings which are within 7 days, please contact the site team directly).
- In order to collect your key on your Summer Licence Agreement Start Date (as defined in your agreement with iQ for your Summer Booking (the “Summer Licence Agreement”)) you will be required to have paid any rent instalments that are due.
Summer Licence Agreement
- You will receive a copy of the Summer Licence Agreement to be entered into by you, your guarantor (if applicable) and IQ, including these terms and conditions for review and acceptance via the IQ portal.
- The Summer Licence Agreement sets out the full terms which you agree to rent a room from IQ.
- You will have the opportunity to read the Summer Licence Agreement before you are required to confirm your acceptance to it.
- You may cancel your booking or Summer Licence Agreement with us subject to the cancellation policy detailed below.
Your Summer Stay
- You can check in from 15:00 on your Summer Licence Agreement Start Date and you must check out before 10:00 on your Summer Licence Agreement End Date (as defined in your Summer Licence Agreement). Our locations are managed by security partners outside of normal working hours, therefore check-in is available 24 hours a day, 7 days a week. Should you wish to speak to a member of the iQ operations team please report to site reception from 09:00.
- Selected leisure facilities may be available throughout your stay with iQ. Please contact reception for full details.
- Parking is not available at any iQ site.
- Sadly, we do not allow pets at iQ. However, we make an exception for residents who require the assistance of a trained and registered Service Dog or Assistance Dog.
- Please note the accommodation does not serve as serviced accommodation, therefore, crockery and bed linens are not provided.
- It is strongly recommended that insurance is taken to cover the cost of cancellation and other risks including personal accident and personal public liability. iQ will not be responsible for the loss or damage of any property left on site other than as required under the Hotel Proprietor’s Act 1956 and the Local London Authorities Act 2004.
Cancellation & Amendment Policy
Bookings made directly with iQ:
Cancellation by you
If a booking is cancelled in writing prior to 31 May 2025 (inclusive) a full refund will be issued. If a booking is cancelled on or after 1 June 2025 no refund will be issued.
If you fail to arrive at the accommodation for the whole or any part of the period booked, without cancelling or notifying iQ within the previously mentioned timeframes, the full accommodation price will still be charged.
Cancellation by us
iQ reserves the right to cancel your booking on notice if:
- We take all reasonable steps to enter into the Summer License Agreement and you fail to do so, for example, if you fail to sign your agreement or pay your rent in good time;
- you provide us with relevant false or misleading information;
- we are prohibited from entering to the Summer License Agreement with you because of the Immigration Act 2014 (persons disqualified by immigration status). In the case we cancel your booking for this reason, you will not be liable for the contractual obligations laid out in the Summer License Agreement from the date of cancellation, irrespective of whether you have signed it;
- we have determined following undertaking Screening Searches that you appear on Sanctions Lists and/or Law Enforcement Databases;
- you or your guarantor (if applicable) fail to cooperate with any screening search additional information request(s);
- you have not paid any amounts that have fallen due (including but not limited to, your summer rental instalment, any previous iQ rent instalment or damage charges); and/or
- you have committed any breach of the Summer License Agreement or any previous tenancy agreement with us.
If you enter into the Summer License Agreement, and you then fail to collect your key within 72 hours of your Summer Licence Agreement Start Date, iQ reserves the right to: (a) cancel your booking and terminate the Agreement and (b) re-let your room. In these circumstances any rent paid by you will not be refunded to cover any losses incurred by us for empty unlet rooms. This provision takes precedence over any provisions in the Summer License Agreement.
License Amendments by you
If you wish to change the length of your summer stay you are able to do so without charge up until 31 May 2025 (subject to room availability). After this date you will be unable to shorten your tenancy length but you may choose to extend it without charge (subject to room availability).
If you request to move rooms after you have signed your summer license, this will be managed based on availability. An administration fee of £50 will be charged for the change.
Bookings made via partners:
For any bookings made through one of our partners, please ensure you consult the cancellation policy outlined in their booking.
In very rare circumstances iQ may reserve the right to cancel or amend your booking. In such instances, you will be given a full refund but iQ shall have no further liability to you arising out of such cancellation.
Governing Law
These terms and conditions (including any claims or disputes relating thereto) shall be governed by and construed in accordance with the laws of England and Wales. The parties irrevocably submit to the exclusive jurisdiction of the English courts over any claim, dispute or other matter arising under or in connection with these terms.
